Guidelines for Travel- and Conference-Related Reimbursements for Current Postdoctoral Fellows in Academic Libraries
During their appointments, holders of CLIR Postdoctoral Fellowships in Academic Libraries are eligible for reimbursement of up to $500 per year of travel- and conference-related costs relevant to their professional development. This benefit is contingent upon the fellow's continued employment at his or her host institution under the terms of the fellowship employment contract. Fellows may receive this benefit only if funds are not available at the host institution to cover the proposed travel costs.
Travel- and conference-related expenses are only reimbursible in accordance with CLIR's travel policy. Fellows are encouraged to review this policy before each trip for which they plan to claim reimbursement. Allowable travel expenses include conference fees and actual transportation, food, and lodging costs incurred on fellowship-related business.
Reimbursement procedures for Postdoctoral Fellows in Academic Libraries
Once expenses are incurred, fellows should complete and submit a copy of the Travel/Conference Reimbursement Form (above) along with electronic copies of official, dated receipts. In exceptional circumstances where a fellow would incur financial hardship, CLIR staff may prepay a travel or conference-related expense on behalf of the fellow.
Please submit all forms and receipts to Lizzi Albert via email (lalbert@clir.org) or post (CLIR, 1707 L St. NW, Washington, DC, 20036).
Processing a prepaid expense or reimbursement may take up to 30 days.
